Privacy Policy
Last updated: 18 October 2026
CC Dietitian (Claudia Cramer, trading as CCDietitian, ABN 70 831 495 590) is an online dietetics practice. Because I provide a health service, I'm covered by the Privacy Act 1988 (Cth) and the Australian Privacy Principles. This policy explains what information I collect, why, and how I look after it.
What I collect
- Contact details: name, email, phone, address, date of birth, and an emergency contact.
- Health information: medical history, conditions, medications, blood test results, eating habits, training, goals, and notes from our sessions.
- Funding details where relevant: Medicare number, DVA file number, NDIS number and plan manager details, private health fund details.
- Referral information from your GP or other health professionals.
- Payment details, processed securely by my practice management system. I don't store full card numbers myself.
- Website information such as pages visited and general location, collected through cookies and analytics.
How I collect it
Mostly from you directly, through booking, intake and consent forms, your client portal, emails and our sessions. Sometimes from others with your consent, such as your GP, specialist, support coordinator, plan manager or carer.
If you're booking for someone else, or giving me an emergency contact, please make sure they're happy for you to share their details with me.
Why I collect it
- To give you safe, personalised dietetic care
- To book appointments, send reminders and deliver your plan
- To process payments and claims with Medicare, DVA, NDIS or your health fund
- To communicate with your referring doctor and care team
- To meet my legal and professional obligations
I only collect what I need. You can choose not to give certain information, but it may mean I can't provide the best care or process a claim.
Who I share it with
Only where needed, and only with:
- Your GP, referring doctor or care team, to coordinate your care
- Medicare, DVA, the NDIA, your plan manager or health fund, to process claims
- Trusted service providers who help me run the practice, such as my practice management, telehealth, email and file storage systems
- Anyone else you ask me to share it with, or where the law requires it
I will never sell your information.
Software and storage
I use secure systems to run the practice, including:
- Zanda (practice management, client portal, booking, telehealth and payments)
- Google (Gmail and Google Drive, for email and files)
- Mailchimp (email list, only if you sign up)
- Squarespace (website)
Some of these providers may store data on servers outside Australia, including in the United States. I choose providers with strong security and privacy protections.
Session recordings and note-taking
I don't keep recordings of sessions. With your permission only, I may use a secure note-taking tool (an AI scribe) that listens to our session and drafts my clinical notes. The audio is processed securely and isn't kept once the notes are made. I review and approve every note myself. I'll name the tool on this page before I start using it. You can say no, or change your mind at any time, and it won't affect your care. If you haven't given permission, I won't use it.
Keeping your information safe
Your records are stored electronically in password-protected, secure systems. I take reasonable steps to protect them from loss, misuse and unauthorised access. If a data breach is likely to cause you serious harm, I'll notify you and the Office of the Australian Information Commissioner (OAIC) as required by law.
How long I keep it
Health records are kept for at least 7 years after your last appointment, or until you turn 25 if you were under 18 when you saw me, whichever is longer. After that they're securely destroyed.
Accessing or correcting your information
You can ask to see your information or ask me to correct it at any time. Just email me. I'll respond within 30 days. In rare cases the law allows me to refuse access, and if so I'll explain why.
Marketing
I may send clients, past clients and people who sign up on my website occasional emails with useful nutrition information, resources and updates about my services. Every email has an unsubscribe link, and you can opt out at any time. Opting out won't affect your care.
Website and cookies
My website uses cookies and analytics to understand how people use it. You can turn cookies off in your browser settings.
Complaints
If you're worried about how I've handled your information, please email me first and I'll do my best to sort it out within 30 days. If you're not happy with my response, you can contact the OAIC at oaic.gov.au or 1300 363 992.
